This is, what should be, everything you need to know about creating and submitting panels for METROCON. If you any other questions concerning the process, please ask them in this thread! ^_^ ----
Panels FAQ
Who hosts panels? Anyone! While we have panels hosted by our Special Guests, METROCON also sports tons of panels hosted by volunteers and regular con-goers - like you! - every year. Visiting guest groups, like Last Chance Myu or Outland Armour, have also hosted panels on special topics.
How can I submit a panel idea? If you would like to host your own panel, it's real easy! If you don't already have an account, sign up for one in the MyConsOnline.com Convention Management System (formerly Team METRO). If we've opened panel submission, then you'll find it on the left under "Volunteers" and after you click the button for "My Panels". Click on "Create Event/Panel", fill in all the information, (make sure you check that you agree the panel won't go over PG-13!) and hit "Submit"! It's that simple.
Does it cost anything to host a panel? If you're asking if it costs anything to rent the room for the panel, then no. METROCON does not charge to host a panel. In fact, hosting a panel counts as volunteer hours, so if you do a panel or two along with normal volunteering for your 10 hours, then METROCON pays you (by giving you the cost of your badge back)!
Okay, I submitted my panel, what now? At this point, you'll be able to see your panel under "Show My Current Events/Panels", as well as "Show All My Events/Panels". If you would like to edit the description, you can do so from either page - just select the panel and click the "edit" icon button. (Please note that Panel Names are unable to be edited.) Your panel will join a list of panels that our Panel Coordinator staff will go through and approve on a case-by-case basis. If our staff has any questions or concerns, they will contact you directly to work with you on getting your panel approved. Please be patient as it can take our staff a couple of weeks to get through all of the panels.
How do I know if my panel has been approved? You will receive a confirmation email stating that your panel has been approved. Also if you see a green checkmark next to your panel name under "Show My Current Events/Panels", then your panel has been approved for our convention!
Yay, I've been approved! ....now what? Congratulations! Now your panel needs a time slot and room location.
Do you place my panel for me? I don't wanna conflict with <insert event>! We do not place panels. Our staff will only move a panel to a different time/location if required. You get to choose your own panel time/date/location! This way, you're in charge of your own schedule.
Great! I want my panel/event to go into Special Events! Whoa there partner! While we're glad for your enthusiasm, we hate to inform you that the Special Events Ballroom is not available for panel placement. Only regular panel rooms will be on the selection list and only METROCON Staff can place a panel/event into certain other rooms, such as the Special Events Ballroom, Guest Track, Video Rooms, and Main Events. Also, only certain events with specific criteria will be considered for the Special Events Ballroom. Sorry!
What's the minimum length a panel can run for? All panels are one (1) hour in length minimum. However, we ask that you be ready to only run 50 minutes in order to give that last 10 minutes for room changeover.
Okay, so I want to select a time for my panel. How? First of all, we want to make sure everyone's aware that panel times are on a first-come-first-serve basis. If you are intent upon a specific time, you better move fast before someone else gets it! To select your time, click on "Set Times" under "My Panels". (Hint, it's at the end next to "Create Event/Panel".) From there, select a panel room, read the room description to make sure you've chosen the right one for your panel type, and then choose a time slot. If you've made more than one panel and they've all been approved, then make sure you select the right panel from the drop down box. Once you've placed your panel, you will be unable to place another panel in another room in the same time slot, nor will you be able to select a volunteer slot for that time period. (So if you're making a panel for a friend and want to volunteer at that time, then get your friend to sign up for their own account to make their panel! =D )
Will my panel show in the Events Schedule on the METROCON website? Yup. As soon as you've selected your time slot in MyConsOnline.com, your panel will automatically show up in its designated date, time, and room on the main Events Schedule. Nifty, huh?

So, say you are really over-zealous and want to skip the panel and go straight to coordinating an event. In this case we will call it a Sock Hop (>.>). So you want to coordinate this sock hop and you've chosen characters and created a plot and what-not; how would you go about submitting that? Would you submit it under the same format as the panel or is there anything special you have to do to start up an event?

Events are submitted in the same format as a panel. However, you might have more correspondence with the Panel Coordinator and other METROCON Staff before your event is approved than someone doing a normal panel.
Simply select "Event" from the drop-down menu when you are at the "Create Event/Panel" page. (Also, you can submit a "Workshop" in the same manner.)

Hey, I was checking my panel to see if it might have gotten approved and when I checked, my panel was gone.. I logged on and off a couple of times to make sure but it was the same each time, checked my e-mail to see if there was any news, but still nada. Should I re-make the panel, or is the site just still being set up and I'm just impatient? xD;; Sorry to bother you~

OH! I bet I know the problem here. You have two accounts with the same username. You might have (somehow) logged into the one that the panel is NOT associated with (I'm not sure how this worked out, though but.. yeah).

My two cents about submitting panels: make the descriptions short, sweet, and two the point. Also spell check. It's going in the con guide, after all! No novel descriptions, please!!
This makes it MUCH easier on staff later!

And just to confirm: we CAN use up 2 hours for a panel correct?

You can't set a time because there are no rooms available to place panels into. I don't know when rooms will be available; that is up to the METROCON Staff.
As for panel length, that is also up to the approval of the METROCON Staff. If you want to sign up for two hours, that is something you should ask the Panel Coordination Staff and/or Nick and Alex.

The rooms are all set up I am just waiting on our Panel Coordination Staff to get there butts in "gear" (hehhehe) before I open them up to everyone......the rooms, not their butts. (My posts always end up being silly.)

Hey everyone! Your friendly neighborhood Panel Room Coordinator here. Sorry it took me a while to get all the panels approved. I thought I'd get them done at work, but doing anything through an iTouch takes about ten times as long. Everything has gone through, and I look forward to all the panels yet to come! I will be sending an e-mail out within the next week to all panelists, with some general information and some specifics when required.
To answer a question, panels can be run for a two hour slot - however, we need to see why they are to run for such a length of time. If you are going to run two-hour blocks multiple times, please pitch to us why you require this time. Two hour time slots may be subject to shortening if there is a demand for more panel room times, especially ones run on multiple days. But we understand completely when panels need more than an hour to cover what needs to be covered.
I should be much better at checking the forums. That, or I'll set up a system where people pelt me with sticks until I check the forums, that should help. If you need to reach me, you can do so at MetroPanelCoordinator@Gmail.com.

Panels will be restricted to one hour time slots at our discretion unless we are contacted and a request is made for more time. This also applies to running the same panel multiple times. Neither longer panels nor duplicate panels are likely to earn you our enthusiasm or a refund. We like diversity in our panel approval, and highly encourage a diverse spread of entertainment available to METROCON patrons within the panel rooms.

Keep in mind the theater style panel rooms seat about 180 people. Odds are you really don't need to book the double wide. Those are reserved for only the largest panels. Just because you book the double wide room does not mean more people will come. I suggest you book a smaller room for you first time running something. Better to have a small room packed that and empty lage room.

When you go to select a room, each room has a description of what is included in the room. Only two rooms will have TVs this year. Projectors are not available. As far as power usage, that is up to you to arrange with Nick and Alex.

What do I need to know about the panel rooms? What do they have?
There are several different panel rooms. Each one has its own setup, and it's important to understand the layouts of these rooms to know where you should schedule a panel. Here's a brief rundown!
Panel Room 18 - A standard panel room. It comes with an audience style of seats (all in rows) and a stage. This is great for a multitude of panels.
Panel Room 19 - A standard panel room with a television. It comes with an audience style of seats, a stage, and a television on the stage. This is great for panels that require multimedia. You can connect laptops to the television (please make sure to bring the correct cables!) or play DVDs.
Panel Room 20 - A classroom style panel room. There are tables and chairs set up and a stage. This is perfect for workshops or anything where the audience members are involved, whether by writing, assembling items, etc.
Panel Room 13 & 14 - A double-wide panel room. It comes with an audience style of seats, a stage, and a television. This panel room is reserved for larger panels. As Nick has said, it's a difficult room to fill! And because none of the panel rooms come with microphones, it makes for a much more difficult room to speak in.
What don't the panel rooms have?
Our panel rooms do not come with projectors or microphones. Take it from someone who has been running panels at Metrocon for five years - as long as you have your audience's attention and can project, it's easy to command attention in those rooms without all those wires for microphones running about. The available wi-fi is the wi-fi to purchase through the convention center.
It doesn't come with you yet, either! A panel is what the panelist puts into it, and we love the panels that are coming through so far.

If your panel has had it's time scaled back (translation: you have been cut from 2 hours to 1 hour, and/or 2 days to 1 day), then DO NOT add more hours to your panel unless you have been given permission by the METROCON Staff.

in regards to my panel.....there may (mos def) be loud music within the course of the panel.....what room would be best to use for this. I ask this mainly because I don't want to bleed music into other rooms and panels.

We had that problem last year with one of our panels. It's quite distracting. :/

We also do not have microphones set up in the panel rooms for the same reason. Not to mention the rooms are not big enough to require them.

Let's say you have a friend who is planning to set up a panel and you are helping them out by co-hosting. If their panel is approved and you do co-host it with them does it go to your volunteer hours as well?

This was tried at one time, and we ended up with people signing up for 5 hours of panels with 10 of their friends as co-hosts just to get their friends in for free. Due to this, we stopped tracking and counting co-hosting.

I added the approximate seating capacities of the rooms to their descriptions.
The Single rooms seat 180 people, the classroom set up seats 110, and the double wide seats 360.
I did this to let all of you just how big these rooms are. I can't tell you how many people have requested the double wide room because they "Ran this panel at AFO/J-Con and they had 50 70 people."
I again want to make the point that is it always better to have a packed small room then a half full larger room. Even though it is the exact same number of people, the perception it completely different.
If I walk into a single room with 180 chairs filled and 10 people standing in the Back I am going to think: "This panel must be really awesome to be so full."
Conversely if I walk into a double wide panel room with 190 chairs filled and 170 empty chairs I am going to think that the panel must not be that great since this room is over half empty. As someone who is in the know on how the sign up system works I am going to wonder why this person would waste a time slot in this huge room with such a dinky panel.
